How it works in detail
Everything you need to know about how our automatic reminder service works.
Forward your confirmation email
When you book a flight, you receive a confirmation email from your airline or travel agency. Simply forward that email as-is to our address reminder@arrival-cards.com. No need to copy-paste information or fill out a form — our system handles all the data extraction automatically.
Smart data extraction
Our algorithm analyzes your email content to extract the essential information: final destination, departure and arrival dates, flight number, and the names of all passengers listed in the booking. This technology works with the vast majority of airlines and booking platforms, whether it's Air France, Ryanair, Booking.com, or Google Flights.
Determining the filing window
Each country that requires an online arrival card imposes a specific filing window. Colombia, for example, requires the CheckMig form to be submitted between 72 hours and 1 hour before arrival. Singapore opens its SG Arrival Card declaration 3 days before the flight. Our database is constantly updated to reflect the regulations in effect in each covered country.
A personalized reminder at the right time
As soon as the filing window opens for your destination, you receive a personalized email containing a direct link to the country's official form, a summary of your flight (number, date, destination), and key instructions for correctly filling out your arrival card. No more searching for the right website or trying to remember the deadline.
Perfect for families
If your flight confirmation includes multiple passengers, our system sends an individual reminder for each person. Each family member receives their own instructions with their name, making it much easier to fill out forms when traveling as a group. No more juggling five arrival cards on a single phone.
Hello Sophie,
Your flight AF 256 to Kuala Lumpur departs on March 24, 2026.
The filing window for the Malaysia Digital Arrival Card (MDAC) is now open. You have until your arrival to complete it.
Required information: passport number, accommodation address, dates of stay.
Why it matters
Not filling out your arrival card on time can have very real consequences on your trip.
Denied boarding
Some airlines check that your arrival card is properly filled out before letting you board. Without this document, you may simply not be allowed to board, even with a valid ticket and passport. This denial can result in significant rebooking fees and ruin the start of your trip.
Endless queues
Upon arrival, travelers who haven't filled out their online form often have to go through a separate counter where queues are much longer. You could lose an extra one to two hours at immigration while other passengers breeze through thanks to their pre-filled declaration.
Last-minute stress
Picture yourself on the plane, twenty minutes before landing, trying to fill out an official form on the cabin's unreliable Wi-Fi. Passport number, hotel address, flight number — all information that's hard to find quickly. The result: data entry errors and unnecessary stress.
Possible fines
Some countries impose financial penalties on travelers who arrive without having completed their online declaration within the required timeframe. These fines can range from a few dozen to several hundred euros, not to mention additional administrative delays at the arrival airport.
They trust us
Thousands of travelers already use our reminder service to travel with peace of mind.

Frequently asked questions about the reminder service
Is the service really free?
Yes, the reminder service is completely free and will remain so. We charge no hidden fees, require no credit card, and never resell your data. Please note, however, that if you then choose to have your arrival card filled out through ArrivalCards, a service fee of €29 incl. tax per card applies, excluding any consular fees.
What flight confirmation formats do you accept?
Our system accepts the vast majority of confirmation formats sent by airlines and online travel agencies. Whether your confirmation comes from Air France, Booking.com, Google Flights, Kayak, or any other platform, our extraction algorithm can identify the key information: destination, flight dates, flight number, and passenger names. You can forward the original email as-is, without needing to reformat it.
How far before the flight will I receive the reminder?
The timing of the reminder depends on the destination. Each country imposes its own filing window — for example, Colombia requires the CheckMig form to be filled within 72 hours of arrival, while Malaysia allows up to 14 days in advance. Our system sends the reminder as soon as the window opens, so you have maximum time to complete your declaration at your own pace.
What if my destination isn't covered yet?
We regularly add new destinations to our service. If your destination country is not yet supported, you can still forward your flight confirmation. We'll securely store your information and send you a reminder as soon as the destination is activated, provided your flight is still upcoming. You can also check our destinations page to track upcoming launches.
Is my personal data protected?
Absolutely. Protecting your data is our priority. We only store information strictly necessary for the service: destination, flight dates, and email address. This data is encrypted, hosted in Europe, and automatically deleted 30 days after your return date. We are GDPR compliant and never share your information with third parties for commercial purposes.
Ready to never miss a thing?
Forward your flight confirmation and we'll take care of the rest.
